CRM implementation your team will actually use

Most CRM projects fail quietly. The software works, but the pipeline doesn't match how the team sells, web leads skip a step, and automations still email people who left two years ago. We implement around your sales process and verify every lead path end to end.

TL;DR

Who this is for

What implementation includes

Pipeline and data model

Stages that reflect how deals really move, with the fields required to enter each stage. Custom fields get stable keys so every form, integration and automation writes to the same place. Deduplication rules and lifecycle stages are decided up front, not after the first import.

Every lead source, captured with its origin

We inventory every way a lead arrives — website forms, chat, phone, social messages, store orders, reviews — and wire each one in with tags and source data, including UTM parameters and ad click IDs. That's what lets paid search optimize toward closed revenue through offline conversion imports, and where a click ID is missing, Google's enhanced conversions for leads can still match the outcome from hashed lead details.

Routing, alerts and automation

Lead assignment by round robin, territory or product line; speed-to-lead alerts; follow-up sequences and task reminders; internal notifications to the right people. When replacing an old system, new triggers run alongside the old ones until the new path is proven. The case for speed is old and well documented: Harvard Business Review's study of online lead response found most companies weren't responding nearly fast enough.

Email deliverability

Since February 1, 2024, Gmail's sender requirements apply to everyone sending to Gmail accounts. Senders of more than 5,000 messages a day must also set up SPF, DKIM and DMARC (a DMARC policy of "none" is acceptable), align the From domain with SPF or DKIM, support one-click unsubscribe on marketing messages, and keep Postmaster Tools spam rates below 0.3%. We configure the DNS records and sending domain as part of the build, because a CRM that lands in spam isn't a CRM.

Text messaging compliance

Business texting from local US numbers requires A2P 10DLC brand and campaign registration before carriers will deliver it (Twilio's overview). Marketing texts also need consent that meets the FCC's TCPA rules. We register the campaigns, write the opt-in language into your forms, and store the consent on the contact.

Data migration

Imports from spreadsheets or a previous CRM with owners mapped, duplicates merged, activity history preserved where the platforms allow it, and record counts reconciled before and after.

Reporting and training

Pipeline, stage conversion and source-to-revenue reports; role-specific training for reps, managers and admins; and short written guides for the five things each role does every day.

How an implementation runs

Discovery

Sit with the people who sell. Map stages, handoffs, required information and every lead source.

Design

Data model, field keys, routing rules, automations and reports agreed in writing before configuration.

Configure and integrate

Build the CRM, connect forms, chat, phone, store and ad platforms, and set up the sending domain.

Migrate

Import, dedupe, reconcile counts.

Verify

Submit labelled test leads through every channel and confirm each lands in the right stage, with the right fields, triggering the right automation — then delete the test data.

Train and hand over

Role-based sessions, written guides, and optional ongoing administration.

CRM failures we've found and fixed

Each of these came up during the Squeaky Clean Turf project, which is why they're on our checklist:

And these show up on most other CRMs we open:

Choosing a CRM: our honest map

This is how we describe the main options to clients, drawn from our comparison write-up:

Platform Usually fits Watch out for
GoHighLevel Local and service businesses that want funnels, SMS, booking and automation in one place; agencies running many sub-accounts It's a marketing automation platform first. Its workflow builder has no public API for editing, so changes are manual or browser-driven.
HubSpot Inbound-led B2B and SMB teams who want pipeline, email tracking and automation without an admin Costs climb with tiers and seats; plan the tier you'll need in a year.
Salesforce Larger or complex sales organizations needing custom objects, territories and deep integrations Endlessly configurable means endlessly complex. Budget for an administrator.
Zoho CRM Teams already using other Zoho apps who want one vendor at a lower price point Breadth of apps varies in depth; check the integrations you need actually exist.

Some industries are better served by a vertical CRM — Follow Up Boss in real estate, DealerSocket in auto, CentralReach in ABA therapy. Our CRM by industry pages compare those lanes, including Ahmeego vs HubSpot and Ahmeego vs Salesforce.

Platform details that decide the data model

Platform Behavior to plan around What we do about it
HubSpot Contacts deduplicate on email and companies on domain, but companies created through the API aren't deduplicated by domain (HubSpot) Integrations search before they create, and a custom unique-value property (up to ten per object) carries the external ID
Salesforce Duplicate handling depends on the matching and duplicate rules you activate Rules set to block or alert at entry before the first import, not cleaned up afterwards
GoHighLevel "Allow Duplicate Contact" is a sub-account setting that governs forms, Zapier and Messenger contacts; CSV imports always merge on email or phone regardless (HighLevel) Primary and secondary match fields set in every sub-account, then tested with a repeat form fill
Zoho CRM Assignment rules and workflow rules run per module Rules mapped module by module so leads, contacts and deals don't route differently by accident

Deliverability checklist we run on every build

When the CRM isn't the problem: the Ahmeego Tracker

Some teams have a perfectly good CRM and still can't see what's happening on the sales floor today. That's why we built the Ahmeego Tracker. It started as a real-time board for two insurance agencies and now runs as six industry versions — insurance, real estate, lending, auto, ABA therapy and ad sales — on one Cloudflare Workers engine with AI coaching, burnout detection and leaderboards (origin story, why verticalized).

It's not a CRM replacement. It runs next to HubSpot, Salesforce or GoHighLevel and pulls from them read-only, or from GroupMe, Slack, Discord and web-form webhooks. Pricing is published: $500–2,500 setup plus $150–600 a month with unlimited seats (tracker pricing).

Pricing and engagement

Implementation is a fixed-scope project quoted after discovery; the main variables are the number of lead sources and integrations and the state of your existing data. CRM licenses are billed by the vendor. Ongoing administration is available as a flat monthly fee, with no percentage fees and no long contracts. Tracker pricing is on our pricing page.

Frequently asked questions

Which CRM should we use?
It depends on how you sell. Service businesses that want funnels and SMS often suit GoHighLevel; inbound B2B teams often suit HubSpot; complex sales organizations with an admin suit Salesforce; teams already on Zoho apps suit Zoho CRM. Vertical CRMs can beat all four in specific industries.
Can you fix our existing CRM instead of replacing it?
Usually, yes. Most CRM problems are configuration, data and integration problems. We audit first and recommend replacement only when the platform genuinely can't support your process.
Is the Ahmeego Tracker a CRM?
No. It's a real-time sales-floor dashboard that runs alongside your CRM and reads from it. Most customers keep HubSpot, Salesforce or GoHighLevel as their system of record.
Can you migrate data from spreadsheets or another CRM?
Yes. We map owners and fields, merge duplicates, keep activity history where the platforms allow it, and reconcile record counts before and after.
Why do our CRM emails go to spam?
Often authentication. Gmail requires SPF or DKIM from all senders, and SPF, DKIM, DMARC, aligned From domains and one-click unsubscribe from anyone sending over 5,000 messages a day, with spam rates under 0.3%. We set this up during implementation.
Can our CRM send text messages to leads?
Yes, once the number is registered for A2P 10DLC and your forms collect consent that meets the TCPA rules. Unregistered business texts are increasingly filtered by US carriers, so registration comes first.
How long does a CRM implementation take?
It depends on lead sources, integrations and data quality, so it's set in the scope. Ahmeego Tracker deployments are quoted at 14 days on our CRM page.
